Introduction
The RI Smart Policy document type is used to manage policy data related to RI reconciliation processes.
1. Overview
The RI Smart Policy document is part of the RI Reconciliation module and serves as a structured format to capture relevant policy details.
2. User Roles and Permissions
Roles with Access
- System Manager: Full permissions, including creating, editing, submitting, deleting, and exporting.
- RI User: Comprehensive permissions for creating, reading, and modifying documents, excluding amending or canceling.
Note: Permissions ensure that only authorized users can perform specific actions within the document.
3. Document Fields and Descriptions
Key Fields

- Description: Links to the associated company.
- Options: Select from existing companies.

Is Reconciled:
- Description: Marks whether the policy has been reconciled.
- Default: Unchecked (false).

Posting Date:
- Description: The date of document posting.
- Default: Today’s date (read-only).

- Description: The time of document posting.
- Default: Current time (read-only).

SP Name:
- Description: Type the name given to the smart policy entry.

- Description: The starting date of the policy period.

- Description: Attach to Upload a report file related to the policy.

4. Creating an RI Smart Policy Document
Steps to Create a New Document
- Navigate to the RI Smart Policy module:
- Go to Modules > RI Reconciliation > RI Smart Policy.
- Click on “New” to create a new policy document.
- Fill out the fields:
- Company: Select the relevant company.
- SP Name: Enter a unique name for the policy.
- SP From Date and SP To Date: Set the policy period.
- Upload a report using the SP Report Upload field if needed.
- Save the document as a draft to review.
- Submit the document once verified.
Downloading Report Template
- Use the SP Report Download Template button to download the template required for report completion.
5. Field Behavior
- Read-Only Fields: Fields such as Posting Date, Posting Time, and Amended From cannot be modified directly.
- Mandatory Fields: Ensure all required fields are filled to submit the document.
- Attachment Handling: Upload relevant documents in the SP Report Upload field.
6. Workflow and Submission
- The document can be saved as a draft for initial input.
- Submit the document once reviewed and finalized.
- Track changes to see modifications and document history if the track changes feature is enabled.
8. Tips for Effective Use
- Use the Is Reconciled checkbox to indicate completed reconciliation.
- Ensure the From Date and To Date are consistent and accurate for policy periods.
- Regularly download the report template for the latest submission format.
